Minutes of the Meeting – February 03, 2018
Attended by 28 alumni plus CES teachers

1. The meeting started at around 1:45 PM, and held at the school science laboratory room.

2. Mr. President began the meeting by recognizing the batches present and asked who are new in the alumni meeting. When everyone has been recognized he asked and reminded everyone for his/her commitment especially in the tasks or the committees he/she belongs to.

3. Mr. President also emphasized the need of the General Officers for initial funds to be used for operational expenses for the alumni homecoming. He mentioned several sources of funds such as:
a. Batch registration fee of Php 1,000
b. His personal TFC sources
c. Other fundraising activities like Fun-run (c/o Batch 94 & 98, Bingo-social c/o Vice Pres and general officers)

4. The meeting proceeded by recalling the different committees, namely:
a. Ways and Means Committee – c/o the general officers, whose main function is to take care of raising funds for operational expenses of the general alumni (as suggested by Jessie Cruz of Batch 81);

b. Food & Drinks – per batch, no liquors as much as possible

c. Sound System – letter of appointment to / solicitation for Mayor Khonghun

d. Live Band – c/o Ms. Aline Vindua of Batch 86

e. Decoration and Physical Arrangement – c/o Batches 1994, 1998, 2003 &2010

f. Motorcade – c/o Batches 1972 and 2007 (route and details of plan will be presented next meeting)

g. Program and Invitation – c/o Batch 2011

h. Registration at the Gate – c/o Batches 1980 & 1981

i. Security – Batch 1981, to coordinate with Brgy. Chairman Orlando Timbol and Tanods

j. Sanitation – CRs c/o school, trashes in the affair c/o each batch

k. Mr. & Ms. Alumni 2018 – c/o CES GPTA

k.1. On-the-spot fund raising popularity contest
k.2 Each batch must have one (1) male and one (1) female candidates
k.3 Combined money for the two (pair) candidates of the batch, not separate for male and female candidates
k.4 Social Box sinadag style of additional fundraising for the batch, the pairs will dance to several music, and volunteer donors may donate money by putting it in the box or pinning it on their dress, 5 batches per set
k.5 Only cash, no checks. Foreign currency will be converted to dollar equivalent and to peso ($1.00 = Php45.00)
k.6 Only the batch with highest collection will be given the title Mr. & Ms. Alumni 2018 and will be awarded with trophy, sash, crown and scepter and 50% of their contributed amount, the rest will have no percentage
k.7 Funds that will be collected from Mr. & Ms. Alumni search will be donated to the school after deducting the expenses for the trophies, crown, scepter and sashes
k.8 Funds will be used for school projects such as improvement of water system in the school, to purchase two (2) more water tanks so that those at the second floor will have water supply for their CRs and other sanitary purposes, and the construction of “I LOVE CES” insignia, and improve/finish the vicinity wall with batch names as donors short homecoming dresses 2018

5. Powerpoint or Video Presentation – c/o each batch, 2-3 minutes only and to be given to Sir Ogot on or before March 24, 2018.

6. Ushers & Usherettes – c/o CES Teachers and GPTA Officers, funds and expenses c/o alumni officers

7. Other Matters:
a. Batch T-shirt for the motorcade – color is up to the choice of the batch
b. Attire on the Alumni Night must be semi-formal, no sando, no shorts, no slippers
c. The general alumni will provide each batch 20 chairs, additional of up to 30 more chairs will be taken care of the batch including one table for batch food buffet

d. Fun-run – to be spearhead by the general alumni but executed by batches 94 & 98
d.1. 20 pieces tickets worth P50 each will be given each batch, good as sold
d.2. Ticket stubs will be presented to the organizer on the day to claim number
d.3. For additional tickets contact batch 94 & 98 or the general officers
d.4. Run starts at 5:30 AM, April 7, 2018, Dream Plaza to CES

e. Batch presidents or representatives are encouraged to sign up and join the Facebook Homepage of Calapacuan Elementary School Alumni Association for posting and info updates.
f. Program flow, Bingo-social and motorcade details will be presented next meeting.
g. Meeting in March will be weekly for closer updates and follow ups of tasks assigned.
h. Next meeting will be on Feb 17, 2018 at 1:00 PM, CES
